Keep a transfer moving

Follow a transfer from opportunity to signature, with evidence for each stage and an owner for the next move.

You’ll need

A credible transfer opportunity, the player and the relevant club contacts.

Step 1 of 4

Create a Deal and assign the lead agent

Keep one record for a credible player-to-club route. Different clubs pursuing the same player may need separate Deals because contacts, terms and progress differ. The player record remains shared context.

In Entekka

Deal Pipeline → Add Deal → New Opportunity

Record the player, clubs and deal type, then assign the lead agent. Keep the mandate or representation evidence with the opportunity. The card names what is needed before Authority Secured.

What you should see

One accountable lead agent owns the opportunity. New Opportunity does not mean the agency already has valid authority to act.

What if this is a renewal or recruitment task?

Use Renewal Pipeline for an existing player’s contract extension and Recruitment Pipeline for bringing a player into the agency. They have their own stages and readiness rules. This guide follows the Deal Pipeline transfer journey.

Step 2 of 4

Use the checks for the next stage

Move the Deal when the evidence supports its next stage. Each stage records a development, not the team’s confidence.

  1. New Opportunity
  2. Authority Secured
  3. Club Targeting
  4. Club Engaged
  5. Offer on Table
  6. Terms Alignment
  7. Legal & Drafting
  8. Signed

In Entekka

Deal card → Next action; forward move → Stage transition review

Open the card’s next-action prompt to complete the relevant requirement. Review the destination-stage checks before moving forward. Depending on the stage and deal type, these include authority, club contact details, commercial terms and required documentation.

What you should see

The stage moves when its applicable checks are satisfied. Needed before a later stage is preparation; it is not automatically a blocker at the current stage.

What if Entekka prevents a forward move?

Read the missing requirement in Stage transition review. Choose Fix now to open its field or document, complete it, then review the move again. Do not move a Deal to a later stage just to make the board look current.

Actual Stage transition review in a fictional scenario: moving from Club Targeting to Club Engaged is blocked by missing club contact details, with a Fix now action.

This move needs a club decision-maker. Fix now opens the relevant field; record the contact, then review the transition again. Requirements depend on the destination stage.

Step 3 of 4

Keep proposals and agreed terms distinct

An offer starts a negotiation; it does not settle every term. Keep the latest proposal and open differences with the Deal.

In Entekka

Deal details → Financials → Applicable commercial terms

Review the applicable transfer, player-contract and commission tracks. Record proposals and agreement in the relevant track. Resolve the required terms and legal package before advancing to Legal & Drafting or Signed.

What you should see

Agreed and countered terms remain distinguishable. Signed means the applicable transaction and commission arrangements are executed.

What if a proposal is still incomplete?

Keep the Deal at the stage supported by the evidence. Name the missing decision, its counterparty and the colleague who will pursue it. Record the response before reviewing the next move.

One agreed term does not settle the track. The payment structure still has an open difference.

Step 4 of 4

Assign follow-ups and review exceptions

Give every conversation an owner, a specific action and a time. A handover should explain the latest outcome and what the recipient needs to decide. Review exceptions together rather than reading every Deal card aloud.

In Entekka

Deal Pipeline → Deal follow-ups

Use the Blocked, Overdue and Needs attention groups to find relevant actions, then open the Deal or required item. Keep linked reminders and their assignees current. After contact, update the source record and task deliberately.

What you should see

The team can distinguish a missing dependency, a dated overdue action and a Deal that is past its stage target.

What if the opportunity ends or changes hands?

Record the supported outcome and update responsibility explicitly. Preserve the reason and relationship context. Completing a reminder does not establish that terms were agreed or the Deal was signed.

The workflow in practice

Every active opportunity has an owner and a next move.

Illustrative workflow · Fictional recordsClub Engaged, with a proposal to confirm next
Opportunity
Luka Petrovic → Northbridge FC · Transfer.
Current position
Club Engaged · Valid authority recorded; Sam Wilson has confirmed an active club conversation.
Next requirement
Obtain a credible proposal before Offer on Table. This is next-stage preparation.
Owner
Jamie R. · Lead agent responsible for the Deal.
Next action
Call Sam Wilson to confirm the offer details and record the proposal in the Deal.
Follow-up date
16 July 2026 at 14:00 · Assigned contact follow-up.

Next actionReview the stage move after the proposal is recorded and the applicable destination checks are clear.

The Deal owns its stage, terms and supporting context. Linked reminders own task status. Renewals and Recruitment have separate pipelines; completing a follow-up never signs an agreement or advances a Deal by itself.
